Billing: New Projected Income Report!

At a Glance:

  • Located under Billing > Projected Income Report

  • This report shows when money is expected to come in by the billing date divided into 3 categories:

    • Autopay - The account has autopay turned on.

    • Manual - The account is current but does not have autopay turned on.

    • Overdue - The account is past due.

  • The report is based on the billing date (when the payment is collected/due). Charges added after that month's billing date has passed will be reflected on the next month's projections.

    • Example:

      • 5th of the Month: Parent's Billing Date

      • June 9th: A charge is added to the ledger for that parent.

      • The amount will be projected to be collected on July 5th within the report.

  • Some changes in the system are updated in reporting overnight (like Autopay being turned on or the account going from overdue to paid up). This means that the report will reflect some changes the following day.

  • The report only shows amounts for future dates.

    • After a billing date has passed, the report will show 0 in that column.

Payment Details have been added to the Payment History Page!

At a Glance:

  • The Payment Method column, which originally said “Credit Card” or “Electronic Check” has been updated to replace these words with the name of the bank or credit card and the last 4 digits of the card/account. 

  • Filters options are still available for credit card, electronic check, check and cash so that you can filter by each payment method to see them all at once.

Required Fee Fields can now be added to the Deposit!

 At a Glance:

  • Many schools have fees that vary by individual student and need to be collected at contract signing. Previously, it was not an option to add a required fee field to be collected at the time of signing (with the deposit).

  • This update allows required fees to be added to the deposit, alleviating the need for schools to manually update the deposit.

Billing: Update to the Refund Process!

At a Glance:

  • Refunds must now be enabled manually, by the school, from the Payments page.

  • When enabled, refunds will come from the School’s Stripe balance UNLESS they have $0 in Stripe, in which case, the refund is withdrawn from their connected bank account.

  • Any fees incurred by disputes or ACH failures will also be collected in this manner.

  • The previous function was to withhold from future payouts leading to a delay in visibility/reporting and the need for refund limits.

  • If refunds are disabled, the school can not process refunds through the payment history page. They will see an error message if they attempt one .

  • Important Notes:

    • Enabling Refunds: With this release, we are disabling refunds for all schools and requiring them to go into Settings > Financial > Payments to enable refunds manually. 

    • Refunds Safeguards: As an internal safeguard, refunds will automatically turn off in the event of large usage that is unexpected. If this happens you can contact support. They will verify that the account is in good standing, the refunds are authorized and that the account is connected to direct debit. After a quick check, refunds will be re-enabled.
